Privacy in the Sales Academy

  1. Who is responsible

180SERVE (Peperstraat 14a, 1941 GB Beverwijk, Netherlands) is responsible for your data in the Sales Academy (the controller). Questions about your data: admin@180serve.com.

  2. Why we use your data

To train you to sell the 180 Lamp, follow your progress, certify you and let your coach support you. We do this because you work with 180SERVE (the agreement under which you sell for us) and because 180SERVE has a legitimate interest in well-trained sales agents who tell customers the truth.

  3. What we store

Your name, work email, language, team and role, progress, answers to exercises, roleplay scores, skill evidence and certificates. Also the assignments your coach gives you (with the reason they wrote), the coaching notes written about you, feedback you send about lessons, your sign-ins (browser and times) and the emails we send you (never a sign-in link). When AI practice is switched on, we also store the text of your AI practice conversations. An audit log records what admins and managers change, never your answers.

  4. What we don't do

We record no audio: voice practice stays on your own device. We never assess accent, voice, appearance, emotion or personality. A certificate is an internal training record, never an employment decision.

  5. Who sees it

You, the team leads and sales managers of your team, and 180SERVE admins. Managers see scores and progress, not private reflections.

  6. Who processes it for us

Netlify, our hosting provider, stores the data in a data centre in the United States (Ohio), and Google delivers the sign-in and invitation emails. Both work only on our instructions. When AI features are switched on, Anthropic, an AI provider in the United States, processes what you type in an AI practice conversation and your questions to Ask the Academy. It receives no name, email or user id. Your questions to Ask the Academy are not stored.

  7. How long we keep it

Your training record stays as long as you have an account. Emails we sent: 30 days (failed ones 90 days). The text of AI practice conversations: 90 days (the score stays). Sign-in links and sessions: 7 days after they expire. Feedback text: 365 days after you sent it, once it has been handled. A candidate's tryout: 180 days after it ended. When you leave, your account is deactivated straight away, and erased with everything that belongs to it when you or 180SERVE ask.

  8. Your rights

You can read your data and download it in Settings. You can ask for correction, erasure or restriction, or object, at admin@180serve.com or through your sales manager. You can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or to the authority in the country where you live or work.
